BOARD MEETING MINUTES OCTOBER 14, 2006
MEDICINE MOUND
MUSEUM - MEDICINE MOUND TEXAS
ATTENDEES: Myna H. Potts, John L. Potts, Dr. James
L. Crowder, Ronda Brown, Dr. Monica Wilkinson, Bill Neal, Jeanene Stermer, John
A. Bates and Guest Richard Braziel.
Chairperson Myna
Potts called the initial meeting of the Board of Directors to order at 10:15
and applauded everyone for their interest and commitment. Recognizing the civic and Christian
heritage of Medicine Mound and rural Texas, she called on Dr. Crowder to lead a
prayer of thankfulness and for blessings and guidance.
John Bates handed
out a package of documents to each member and reviewed both content and
purpose. He noted the Texas
Secretary of State's recognition of the entity's incorporation, the proposed
corporate by-laws, the Internal Revenue System's requirements for non-profit
501© 3 status, the request for assistance made to entrepreneur Red McCombs, and
current expenditures.
Bill Neal made the
motion that the Corporate By-Laws be adopted as written. John Bates seconded the motion. The motion passed unanimously.
The Executive
Committee, as outlined in the By-Laws, was established with Myna Potts as
Chairperson, John L. Potts as Vice Chairperson, James L. Crowder as Secretary,
Jeanene Stermer as Treasurer and John A. Bates. Next, discussion ensued on the formation of standing
committees based on the experience, interest and contact sources of the different
members.
Jeanene Stermer
talked about the Texas Department of Agriculture's "Yes, Texas" promotion and
the Three Rivers development near Crowell, Texas. Bill Neal spoke about the Panhandle Plains Museum and Dr.
Gary Nall, a retired history professor at West Texas A&M University. Richard Braziel (chairman of the
Hardeman County Historical Society) reported on possible funding by the
Summerlee Foundation and the help of the Texas Plains Historical Trail
Association. John Bates reflected
on the Downtown Medicine Mounds' new website and how assistance (financial,
professional, physical, etc.) could be solicited from all levels.
The Preservation
Committee (with emphasis on both artifacts/archives and facilities) was
established with James Crowder as Chairperson.
At this point,
John Potts gave his "hats off" to everyone in attendance but especially
spotlighted the work and dedication of Myna Potts and John Bates.
Based on John
Bates' recent work and his pledge of future contributions, Bill Neal made the
motion that John Bates also be appointed the Executive Director of the Downtown
Medicine Mounds Preservation Group.
Ronda Brown seconded the motion.
During the discussion Bates again expressed his passion and commitment
and the need to have "boots on the ground" to apply for grants that require a
minimum number of hours of operation.
The motion passed unanimously.
At this point,
Myna Potts asked everyone to give a short autobiography to explain their
connection to the project and their background of expertise.
John Bates then
directed everyone's attention to the printed proposal to employ Austin
architect Joe Freeman to develop an initial assessment and master plan for
restoration, rehabilitation and possible expansion of the museum
facilities. Mr. Bates then made a
motion that Freeman's services be utilized as soon as funding became available.
Bill Neal seconded the motion. The
motion passed unanimously.
Finally, Bates
presented a list of miscellaneous expenditures incurred in setting up the
corporation plus travel expenses from Detroit, Michigan to attend the
meeting. Mr. Bates requested that
he be reimbursed "when funding became available." Bill Neal made the motion to
reimburse Mr. Bates the total amount of $459.44. Dr. Crowder seconded the
motion. The motion passed
unanimously.
There being no
further business, Dr. Crowder made a motion that the meeting be adjourned. Bates seconded the motion. The motion
passed unanimously at 11:50 AM.
